Booking & Booking Deposit
By placing a booking with Sōl Retreats (the retreat organizer/his/her representative) you (the participant) agree to the following terms and conditions as set-out. During the Retreat you agree to abide by the subsequent conditions as set-out. If you have any questions about booking with us, please contact us before making a booking.

 

To place a booking with us the participant must be at least 18 years of age. 

 

Deposit payments must be 'cleared funds' before a booking can be confirmed. Deposits are only refundable under the conditions set-out here within.

Payments can be made online using debit / credit card as well as by digital bank transfer.

 

To secure your booking we require a deposit to be paid at the time you register for the Retreat, this deposit amount is 50% of the total sum. Only once we have received your deposit, your reservation is officially confirmed. 

 

The remaining 50% of the total sum should be paid no later than 28 days before the starting date of the Retreat. If the remaining payment is not received on time, your spot is available again and you will forfeit your deposit.

 

Cancellation Policy

In case of cancellation by you the following policy applies;

• More than 42 days period: you can change your participation to another Retreat within the same calendar year up to 6 weeks before the Retreat date. Note that this only applies if another retreat is actually available. In case of cancellation, the deposit of 50% of the total sum will be forfeited.

• Between 42 - 28 days period: changes are no longer possible. You will forfeit the 50% of the total sum deposit and the rest will be refunded. 

• Less than 28 days period: owed 100% of the total sum. Under no circumstance will there be any refunds given.

It is not possible to reclaim down payments. This risk can be covered by taking up cancellation insurance.

 

Code of Conduct

You agree to behave in such a way as to create a safe environment while participating in the Retreat. You agree not to engage in disruptive speech or behavior or otherwise interfere with the Retreat or other individuals’ participation in the Retreat. You will comply with all applicable laws and agree not to engage in any form of harassing, offensive, discriminatory or threatening speech or behavior. Sōl Retreats may require participants engaging in such behavior to leave the Retreat immediately and such participants will not be eligible to receive a refund of any fees paid to Sōl Retreats related to the Retreat. 

 

Our Right To Cancellation

Sōl Retreats may cancel a Retreat at any time and may deny, limit or cancel a registration for the Retreat (including a confirmed registration) at any time. Sōl Retreats is not responsible for any damages, direct or indirect, resulting from such cancellation. If Sōl Retreats cancels a Retreat or your registration, as long as you are in compliance with these Terms and any refund policy listed in this Terms for the Retreat, Sōl Retreats will issue you a full refund of any Retreat registration fee that you have paid in accordance with these Terms. 

In the case of an amount less than 8 participants, between 42 - 28 days period, a Retreat is canceled.

 

Accidents & Thefts

Sōl Retreats does not accept liability for any damage or injury (injuries, illness, death, material damage or theft) sustained by you during the Retreat. By booking you accept that you are responsible for the safety and security of your own belongings, and you understand that you may not hold Sōl Retreats liable for any of such incidents.

You acknowledge and agree that your attendance and participation in the Retreat is voluntary. You agree to assume the risks associated with attending and participating in the Retreat to the fullest extent permitted under applicable law.

 

Commercial Activities & Phone Use

Any commercial activities like a photoshoot or professional film recording for (social) media activities is not allowed. Unless otherwise agreed on. The Retreat is an investment in your personal journey and not for any kind of promotion or work. Phones during practices are not allowed. Respect the privacy of others and do not photograph or record other participants, unless they have given consent. Phone calls are not allowed in the public areas.

 

Lost Property

Any lost property, if discovered and found, left behind by participants during the Retreat will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners, we accept no responsibility in replacing lost items and encourage participants to ensure they have all their belongings before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.

 

Your Personal Details & Privacy

We are required to keep a register of guests over the age of 18 who stay with us, this includes full names and nationality, and/or passport numbers, place of issue. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation) [which comes into force in May 2018].

Our policy surrounding the personal details you provide as part of any booking or enquiry through this website / or third party website, including the privacy of those details are explained and set out in our Privacy Policy which you can read on this website.
 

Complaints 

Despite all our efforts, it is possible that you believe you have a justified complaint. This complaint must, as far as possible, be submitted on site. If direct submission is not possible or if the complaint can not be resolved satisfactorily, it must be submitted in writing within two weeks after termination of the Retreat, motivated and submitted to us. Complaints submitted later will not be accepted and an alleged right of action will lapse.
 

License to Use Items

In consideration of the opportunity to participate in the Retreat, you grant to Sōl Retreats and its affiliates, successors and assigns, and their respective licensees, advertising agencies, promotion agencies and fulfillment agencies, and the contractors, officers, directors and agents of each and all of them (“Authorized Persons”) an irrevocable, nonexclusive, royalty-free right and license throughout the world and in perpetuity to reproduce, edit, publish, distribute or translate, for advertising, publicity and promotional purposes or for any other purpose relating to their business, all or any part of the following items (“Items”): (a) all still photographs and all audio and video recordings that any Authorized Person makes of you or your voice or likeness in connection with the Retreat, and (b) all materials (electronic or hard copy) submitted or presented by you in connection with the Retreat, including any materials submitted via social media handles associated with the Retreat.
